Job Summary
We are looking for a Library Assistant III, who will be based in our Information Center at the Getty Center, to catalog digital and print materials, and provide day-to-day administrative activities for AATA Online, an abstracting and indexing database focused on the conservation and preservation of material culture.
Major Job Responsibilities
As a Library Assistant III, you will catalog various types of publications, including journal articles, conference proceedings, monographs, journal titles, theses, technical reports, and audiovisual files. You will create and update bibliographic and authority records from simple to complex, scan print materials, reformat analog text to digital, conduct minor editing of abstracts, and analyze data for record cleanup. You will assist in complex metadata searching, selection, evaluation, editing, and creation for resource access, description, and record management in Ex Libris Alma; and you will prepare name authority metadata using LCSH, VIAF, and local authority file.
Working closely with the AATA Managing Editor, you will assist in the administration of contracts, from their development and data entry in PeopleSoft to processing and tracking invoices for payments; and you will liaise with colleagues in other departments to ensure accuracy of contract drafts and timely finalization. Additionally, you will assist in the preparation of budget materials and track, monitor, and report on expenditures to help maintain AATA's budget.
Qualifications
- Bachelor's degree in art history or related discipline preferred
- Minimum 3 years related experience
Knowledge, Skills and Abilities
- Excellent organizational skills and attention to detail
- Effective communication skills
- Basic understanding of bibliographic metadata structure and principles
- Experience with or ability to learn library-specific applications and standards
- Ability to compile statistics and compose reports using Microsoft Excel and/or Word
- Ability to work both independently and collaboratively
- Familiarity with AACR2/MARC bibliographic standards preferred
- Experience with Alma or other integrated library system, PeopleSoft, and Adobe Acrobat is a benefit
- Reading knowledge of a language other than English is valuable in this position
